How to Search Cases by Name
Begin at the Hawkins County Online Court Records form. It covers Circuit Court and General Sessions, both civil and criminal entries. The Party Name box also takes an older case reference. Pick one or the other, never both. A full first and last name gives the best match, and any added term, year, office, or type combines with AND logic.
- Open the Hawkins County form and complete Turnstile.
- Enter a full name and keep Match all checked for a focused query.
- Add Case Year when known, then select the likely court office and case type.
- Choose Find Now and compare court, year, and number before accepting a match.
- If no row appears, change one filter at a time or call the clerk.

Hawkins County Search Form
Some searches simply cannot run here. The form offers no date-range, attorney, judge, courtroom, document-type, Chancery, Juvenile, or municipal field, and no combination of checkboxes stretches coverage past Circuit Court and General Sessions. So a city citation or a Chancery petition may still exist even with no row in your results.
The official search screen displays the exact controls.

How to Search by Case Number
Enter just the final numeric segment when the portal gets a formatted number. Official help shows 99GS1-2023-CR-12345 as an example. It tells you to type 12345. The other segments still help you confirm year, type, and office once results come back. Chancery works differently: 2025-CH-25 becomes 25CH-25. That e-filing format promises nothing about the county search.
Hawkins County Query Limits
The lookup reads only the first ten words in Party Name or Case Reference, and the year and checkboxes do not count toward that limit. It lowercases terms, strips non-spacing marks, treats punctuation as soft separators, and permits limited typo matching. Quotes force a phrase. Keep searches short and careful.
Key point: the portal returns no more than 2,500 records, so narrow a common name by year, court, and case type.
What a Case Search Shows
A result row is a lead, not a certified copy of the court record. Column names vary by display. When public detail appears, expect court, number, style or party roles, filing date, status, entries, settings, disposition, and costs.
| Court and number | Identify the Hawkins County office and case. |
|---|---|
| Style or roles | Give the public caption and roles. |
| Filed date and status | Show when the matter began and its public state. |
| Docket entries | List filings, settings, orders, and disposition events. |
| Costs | Appear only if the public view supplies them. |
Before you rely on a short label, ask the clerk or read the order itself. The Hawkins County court record search maps the document path.
Hawkins County Result Filters
The first pass through the Hawkins County query applies phrase rules, typo tolerance, court choices, and AND logic. Once rows load, a second tool takes over. It checks literal text across the visible columns in real time, uses no phrase or typo logic, and the column headers sort what you see. Clear that filter before changing the original query.
County vs Statewide Case Search
No statewide public search covers Tennessee trial courts. The Public Case History service handles appeals, not ordinary Hawkins County trial files. It can search case number, style, party, or business and may show the trial court, judge, trial number, milestones, counsel, and public PDFs.
| Route | Coverage | Best use |
|---|---|---|
| Hawkins portal | Selected Circuit and Sessions cases | Known local trial matter |
| Public Case History | State appeals | Case after appeal |
| Clerk | Office records subject to access rules | Missing, old, or nonportal matter |
The AOC case resources show these distinct routes.

This source routes trial searches back to local court offices.
Hawkins County Appellate Layer
Public Case History generally covers appeals whose record was filed after September 1, 2006. Motions, orders, judgments, and opinions generally begin after August 26, 2013. Data are current through the prior business day. Call the appellate clerk about anything newer. The appellate source spells out this coverage.

The appellate view can connect a local trial number to later milestones.
Hawkins County Chancery Route
Chancery never appears in the county search boxes. Brent Price, Clerk & Master, holds the equity, probate, tax, registry, and related files. Tybera EFlex handles permitted filing and service, not a public countywide lookup. The Hawkins portal home marks the local public entry.

For covered Circuit and Sessions entries, that portal is the right door. The TN-CIS portal shows the separate Chancery route.

This system serves filing workflow and must not be confused with public case lookup.
Hawkins County Clerk Fallbacks
Randall L. “Randy” Collier’s Circuit Court Clerk runs the main office at 115 Justice Center Drive, Suite 1237, Rogersville, TN 37857. Call 423-272-3397 or 423-272-4517. Hours are weekdays, 8:00 to 11:45 and 1:00 to 4:00. The Church Hill office sits at 150 South Central, Church Hill, TN 37642, phone 423-357-4441. No mail is delivered there. That office opens Monday, Tuesday, and Thursday, 8:00 to 11:30 and 1:00 to 4:00.
Reach out by phone, at the counter, by mail to Rogersville, or through an office-confirmed terminal. Always name the court and the record type. Municipal cases belong with the city clerk. Older files may live in the Hawkins County Archives.
Hawkins County Missing Results
Finish Turnstile in a normal browser if Find Now stays disabled. Next, drop extra terms. Try a spelling variant, switch the likely office and type boxes, or test the year. A missing match can mean the wrong court, an older file, delayed entry, restricted access, or a category outside this form. The clerk remains the final check.
Hawkins County Search Help
Before you run another broad query on the portal, open its Search Help page. Punctuation there is softer than you might guess. Commas, colons, and hyphens act as gentle breaks rather than exact characters, so the system reads around them. Quotes also change things. A phrase inside quotation marks is treated as one block. That works differently from the same words typed loose. Typo tolerance kicks in with longer terms first, and it has limits. It will not treat just any spelling as the same word.
Match all carries a catch worth knowing. When the system needs to fill out a result set, it can quietly drop terms. Those cuts come from the end of your query. So words you thought were mandatory may not have been. Anyone digging through a Hawkins County docket should assume that possibility rather than trust the first screen.
Save what worked. Write down the Party Name text. Note the year, the court office, the case type, and whether Match all was on. Copy the case number from the result exactly as it appears. A repeatable docket search is far easier to confirm with the clerk. Many records share a name, and the public view can change.
Restricted Cases and Access Rules
Tennessee Supreme Court Rule 34 sets the baseline for Hawkins County court records. Most of them are open to inspection. Still, the rule carves out real exceptions. Juvenile files, sealed matters, protected filings, medical or financial data, information about minors, victim data, and anything under a court order may be withheld or redacted by the clerk.
When you request something, ask for a specific item. Name the docket sheet, minute entry, order, or judgment you want. If a filing mixes public and protected content, request a redacted copy. Expungement runs through its own separate court process. And a missing Hawkins County result never adds up to a complete history.
Note: A portal view is only an index. The certified record comes from the clerk who holds the original.
